Facilities Co-Ordinator

Function of Role:

The Facilities Coordinator will assist the Facilities Manager to ensure a complete, high quality, efficient, commercially driven and cost effective facilities management service across the Grangecastle site. You will be provide administrative and project support and will be responsible for day to day Facilities Management including managing contractors and being the point of contact for employees on the site .The role will be the face of FM and will ensure offices operate as smoothly as possible.

Duties & Responsibilities:

  • Assisting in co-ordinating and managing the Planned Preventative Maintenance for the site.
  • Support the FM with tender process to get best value for the site.
  • Processing invoices and the issuing of purchase orders to suppliers for service in line with budget. (Note SAP system).
  • Support the Facilities Manager in duties such as keeping reports, quotes and schedules up to date, developing some new processes for improved team functionality.
  • Under the supervision of the FM coordinate, supervise and manage subcontractors -  Co-ordinate and document contractors' on-site activities to ensure that the tasks are performed and completed successfully.
  • Conduct daily building walks around: open space, meeting rooms, kitchens, toilets, storages, etc. to ascertain the status of all areas – generating reports, taking photos on findings and address and resolve any remedial actions.
  • Ensure all faults with furniture, fixtures and office equipment are reported and addressed.
  • On the ground reactive responses to calls that come to the Helpdesk.
  • Work closely with the Facilities Technician to ensure all works are up to date / completed and communicated.
  • Monitor team operations and suggest positive changes where needed including reception, cleaning and security providers.
  • Assist on small projects throughout the office such as improvement projects and internal moves.
  • Respond to service calls and be active on the internal facilities helpdesk.
  • Work closely with the Environmental Health and Safety Department to ensure that all relevant environmental and safety requirements in the premises are met.
  • Develop and maintain strong internal and external relationships.
  • Occasional cover of reception and annual leave.

  • Ideally some previous exposure working in a Facilities environment would be beneficial.
  • SAP experience would be an advantage.
  • Experience of working to Service Level Agreements and Key Performance Indicators.
  • Experience of working with contractors and suppliers and monitoring of their service standards.
